The administrative staff at UF Scripps Biomedical Research are critical partners in our research efforts. From handling grants submissions to organizing scientific lectures, they are a key ingredient in our success.


Lab Administrative Coordinator I

The Lab Administrative Coordinator I performs grant and manuscript preparation; prepares correspondence; performs account reconciliation; makes travel arrangements; orders lab and office supplies; prepares new hire paperwork and lab orientation; performs editing and proofreading for grammatical accuracy; performs other related duties, tasks and responsibilities as required or assigned.

This position is responsible for systematic monitoring of grant awards utilizing reports and spreadsheets. They work with various offices on campus in areas including the preparation and submission of purchase orders for lab ordering with procurement and payroll department; completion of lab member timesheets. They work with IT services/telecom for network and audio visual needs. They work with facilities department personnel for repairs, installations and engineering needs. They schedule Environmental Health and Safety training and biosafety for new lab members. They also help plan and implement scientific lectures and conferences. This can include arranging conference room logistics and travel details, creating an agenda for meetings with faculty, budgeting, catering, reimbursement, etc.

Excellent organization, verbal, and written communication skills are required. Ability to work independently. Detail-oriented and flexible. Experience with Microsoft Office (Word, Excel, PowerPoint, etc.) and the ability to learn software programs specific to the department. Professional level typing (45 wpm) and editing skills.


Lab Administrative Coordinator II

The Laboratory Administrative Coordinator II performs administrative support activities for multiple supervisors, typically Principal Investigators, as well as for members of their laboratories. A Laboratory Administrative Coordinator is an integral part of the research team at UF Scripps Biomedical Research. This role requires knowledge, interaction and communication with each division of the institute.

  • Minimum three years directly related experience as an administrative assistant in an environment such as medical, research, educational or legal where duties included preparing detailed and specific forms (i.e. grants, contracts, legal documents)
  • Team player – ability to work with others of diverse backgrounds, as well as willing to step in and offer assistance without prompting
  • Willingness to learn – adaptable and capable of learning new skills.
  • Adept in use of technology – familiar with Microsoft Office software, such as Excel, Word, PowerPoint, Outlook, as well as Adobe products.
  • Financial/Accounting skills – ability to understand and make purchasing and hiring decisions based on financial reports.
  • Strong verbal and written communication skills – handling incoming correspondence in a timely and professional manner, with a friendly and positive attitude.
